Trimble’s new AI Agents free staff from paperwork and calls

NEW ORLEANS—A single fleet can spend 40 to 50 hours a week manually entering invoices, or have upwards of 80 call center agents on standby to handle breakdowns and road calls around the clock.
At the Trimble Insight Tech Conference, the company unveiled three AI agents designed to save time and keep fleet and shop personnel focused on higher-level work, eliminating tedious and error-prone manual tasks. These include Invoice Scanning Agent for Trimble TMT Fleet Maintenance, Road Call Agent for Trimble TMT Road Call, and Order Intake Agent for Trimble’s Transportation Management Systems. Developed based on feedback directly from real fleet customers regarding their biggest pain points and administrative bottlenecks, these tools automate road call responses, invoice entry, and more, offering real efficiency gains.
“In general, our thought process around AI is to try to remove the manual tasks, to remove the mistake-prone tasks, and to free up those workers to do higher-level work,” explained Michael Kornhauser, sector VP, transportation & logistics at Trimble, to media at the conference.
The new AI agents are expected to be available in Q1 2026 for existing Trimble customers. Here's a breakdown of how each AI agent will cut down on manual data entry and free up employees and managers for value-add tasks.
Road Call Agent
The Road Call Agent for Trimble TMT Road Call helps fleets manage high call volumes when it comes to roadside breakdowns. The AI chatbot speaks with the driver, gathers unit information, and identifies the issue, using a large-language model to understand natural language and determine the most efficient solution.
Brian Mulshine, senior director, product management for Trimble, shared an example in which a truck had both a burnt-out headlight and a flat tire. The agent was then able to build two work orders within the single breakdown event, communicating with the driver so that they could follow their case.
And there are applications for the feature in fleets of any size. Larger fleets may have “80 people in their call center, seven days a week, 24 hours a day, 365 days a year. They have to have all these people managing all this,” Mulshine explained. “Now you go to a smaller fleet, it's just a lot of work.”
Even for fleets that prefer direct contact with drivers, it reduces hold times and boosts efficiency. If human agents are busy, the AI collects all relevant vehicle information in the meantime, giving the human agent everything they need to jump back in and respond immediately.

Invoice Scanning Agent
Also part of Trimble TMT Fleet Maintenance is the Invoice Scanning Agent, an AI-powered feature that scans PDF repair invoices to automatically enter repair order data directly into TMT, removing the need for manual data entry.
“We know this work takes time, and now with our Invoice Scanning Agent, we give you that time back,” Kornhauser said. He said that one customer, Knight Swift, has already begun using the invoice scanner and saved 40 to 50 hours a week by eliminating this one task alone. That’s the equivalent of a single employee who could be using their valuable time in another area of fleet operations.
Mulshine spoke of his experience with Trimac, another Trimble customer. They reported spending about seven minutes on average to enter an outside vendor invoice into their system.
AI technology scanning your invoices provides the additional benefit of having less room for human error, as it automatically recognizes and captures vehicle information like the VIN, unit number, and odometer reading without having to type them in manually.
To avoid issues with incorrect information due to an irregular vendor invoice format, for example, Mulshine explained that all scanned data is 100% editable if any changes are necessary.

Order Intake Agent
The new Order Intake Agent for Trimble TMS can make manual review in as many as 90% of standard order entries a thing of the past, according to the company. The AI will quickly process orders received through email, PDFs and EDI, and more. It then enters the data directly into the TMS for review.
"Think about all the time and resources saved from this one automated process," Kornhauser said. "Think about compounding every order every day over the course of a year. That's major time savings in an industry where every second counts."
