Fleetio launches AI-powered tool to simplify fleet repair decisions

INDIANAPOLIS—Fleet maintenance technology specialist Fleetio has rolled out a significant leap forward in automated fleet management with the open beta launch of AI Service Advisor. This new AI-powered capability is designed to help fleet managers navigate the complexities of high-volume repair approvals with greater speed and consistency, the company said while announcing the early-stage software at the Work Truck Show. 

And it's available now for existing customers, who can now access the Service Advisor beta through their account settings to begin streamlining their maintenance operations.

The new tool should provide instant relief as the industry grapples with tightening margins. Early data indicates that assets utilizing AI Service Advisor spend 16% fewer hours in the shop, effectively reducing operational friction and boosting fleet confidence.

The timing of this release is critical for the industry, the company noted. According to Fleetio’s 2026 benchmark report, cost escalation has emerged as the primary concern for fleet leaders. By providing an intelligent framework for service approvals, Service Advisor offers a clear path to reducing unnecessary expenditures and returning vehicles to service faster, directly addressing the financial strain on maintenance budgets.

Service Advisor is the latest component in Fleetio’s broader mission to eliminate bottlenecks across the maintenance workflow. This initiative includes the recently launched Smart Uploads feature, which uses AI to transform physical service invoices into structured digital data in seconds.

Kristen Arnecke, fleet administrator at Race Communications, noted that this automation has turned a 20-minute manual task into a simple "drag and drop" process, saving her team six to eight hours per week.

Drawing on more than a decade of historical service records, Service Advisor provides three core functions to solve daily operational challenges:

  • Repair Order Assessments: The tool reinforces routine approvals while flagging exceptions, ensuring that maintenance standards remain consistent regardless of who is reviewing the work.
  • Smart Issue Prioritization: By elevating urgent repair needs, the system helps teams avoid backlogs and prevent downtime before it disrupts critical operations.
  • Service History Clarity: The AI summarizes complex repair and approval histories into a concise narrative, allowing managers to verify policy alignment in seconds.

Jorge Valdivia, CTO at Fleetio, emphasized that the tool is designed to strengthen human judgment rather than replace it.

"Because Fleetio sits at the center of the maintenance workflow ... we’re able to bring the right context forward," Valdivia said.

Service Advisor is a major step toward Fleetio becoming the "operational brain" of the fleet, embedding intelligence to help teams operate with far greater discipline, he added.
